When and How Will I Receive My Files?

After your production license has been verified and payment or approved purchase order requirements are complete, KeyboardTEK will provide access to your programming files.

Most programming is delivered digitally. Your order email or account access will include instructions for downloading the files you need for your production.

When Files Are Released

Files are released after:

  • Your production license has been verified, and
  • Payment is complete, or an approved purchase order process is complete.

Some shows may be available shortly after approval and payment. Other shows may have timing restrictions and may not be released until closer to your production dates.

For many productions, file access is based on the production information provided during ordering, including rehearsal, opening, and closing dates.


How Files Are Delivered

KeyboardTEK programming is delivered digitally.

Depending on your order and the current delivery method, you may receive:

  • Download links by email
  • File access through your KeyboardTEK account
  • Instructions for accessing the files once your order is approved

The email or account page will explain which files are available and how to download them.


Who Receives File Access

File access is usually sent to the order contact and/or billing contact provided during checkout.

If other production users need access, such as a music director, keyboard player, programmer, technical director, or production manager, they may need to be added to the order or production account.

Make sure the email addresses on the order are correct so the right people receive access.


If You Add Additional Production Users

If additional production users are added before the order is approved, they may receive the approval and access information at the same time as the main order contact.

If additional users are added after approval, they may receive a separate invitation or access email letting them know they have been added.

Production users should use their own login or access link when available. Do not forward files to people who are not part of the licensed production.


Why Some Titles Are Not Available Immediately

Most shows can be delivered after the order is approved and payment or purchase order requirements are complete.

A small number of titles may have additional restrictions. These restrictions may be related to licensing, original production materials, designer agreements, file preparation, or watermarking requirements.

If your title has a restricted delivery timeline, KeyboardTEK will provide instructions about when the files will be available.


KeyboardTEK files are licensed for your specific production and production dates.

Download access is not intended to remain open indefinitely. Access may be limited based on your production timeline and KeyboardTEK’s licensing requirements.

Please download and test your files as soon as they become available. Do not wait until tech or performance week to confirm that the files open correctly.

At the end of your licensed production term, all programming must be deleted unless KeyboardTEK has provided written instructions stating otherwise.


Before Downloading

Before downloading your files:

  • Use a stable internet connection.
  • Avoid school or business networks that may block or throttle large downloads.
  • Make sure your computer has enough free storage.
  • Download the files directly to the computer you will use, or to a reliable drive.
  • Fully unzip the files before opening the MainStage concert or related programming.

Programming files can be large, so the download may take time.
